Permissions and Sharing

Overview

Permissions and sharing in Amplify Equip allow you to control who can view, edit, and distribute content. These features make it easy to collaborate with your team while maintaining appropriate access levels.


Understanding Content Visibility

Content Library Visibility

  • Content in your Content Library tab is private by default.
  • Only you can view this content until it is added to a project.
  • Once added to a project, content inherits the Project Visibility setting configured in the Project Settings panel.

Project Visibility Options

To update visibility:

  1. Open a project.
  2. Click Project Settings (top right of the project view).
  3. Locate the Visibility dropdown.

You can select one of the following:

  • Private
    Only the Project Owner and users added via the Share panel can access the project.
  • Ministry Area
    Users assigned to the selected Ministry Area automatically receive Viewer access. Additional permissions can be granted from the Share modal.
  • Organization
    All users in your organization receive Viewer access. You can assign elevated roles to individuals in the Share modal.

Managing Project Access

To share a project:

  1. Open the project.
  2. Click the Share button (top right).
  3. Enter a user’s name or email in the Add People field.
  4. Select a role from the Role dropdown.
  5. Click Invite.

Roles Available

  • Viewer
    • Can view project content
    • Cannot edit or add content
  • Contributor
    • Can add new content within the project
  • Editor
    • Can edit, update, and manage all content in the project

Tip: Use the Role dropdown carefully—assign the lowest level of access needed.


Sharing Content with Links

You can share content outside of Equip using the Share button on any content item.

Create a Share Link

  1. Open a content item from the Content Library, Project, or Workspace.
  2. Click Share (top right of the content preview panel).
  3. Click Copy Link.
  4. Paste the link into your desired destination (email, chat, etc.).

Manage Share Links

  • View active links in the Share modal for the content item.
  • Click Revoke Link to disable access.

How Share Links Work

  • Links are public (no login required)
  • Each link uses a secure token generated by Equip
  • Links generate a new secure access URL on each click
  • Revoked links return an error and can no longer be accessed

Supported Content

  • Content items listed in the Sources tab (videos, audio, images, documents)
  • Generated items in Workspaces (sermon notes, blog posts, social posts, etc.)

Using Share Links

  • Email clients (Gmail, Outlook)
  • Messaging apps (Slack, Microsoft Teams)
  • Websites and CMS tools
  • Social platforms (auto-preview supported)

Understanding User Roles

Organization Roles

Manage these in Settings > Users:

  • Universal Admin – Full access to all settings, users, and content
  • Admin – Access to User Management and admin settings
  • Member – Standard access controlled by project sharing

Ministry Roles

Set during user setup or in User Profile settings:

  • Do not impact permissions
  • Influence:
    • Recommended toolkits in the Toolkits panel
    • AI-generated content context
    • Suggested workflows

Best Practices

  • Use Private visibility in Project Settings for draft work
  • Use Ministry Area when collaborating with defined teams
  • Limit Editor role assignments in the Share modal
  • Use Copy Link for external sharing instead of adding users
  • Regularly review and Revoke Link for outdated content
